In Taupo for Ironman NZ 2010

The Active team made it to Taupo for the 26th Ironman NZ. Cameron Brown won overall and Jo Lawn made a comeback with a new record time taking her trophy back from Gina Crawford.

The town was abuzz with Ironman excitement, and of course Active’s very own Mike Reilly ‘the voice of Ironman’ was in fine form and had the spectators revved up and cheering the finishers home up until after midnight!

Active looks forward to another great year supporting Taupo events such as the Lake Taupo Cycle Challenge and Mizuno Half Marathon.

"The Molenberg SUB (Sarah Ulmer Brand) Stride or Ride Series has been using Active for the last two seasons.  The series attracts entrants of all ages so it was important to us that our online system was as simple as possible - Active provided just that. It provides everything we require and more! As well as a very simple front end for our entrants to use."

Active Teams Up with Live Earth
We’re excited to announce that Dow Live Earth Run for Water has chosen to team up with Active and use our event management software to power their events.  Live Earth will launch a series of 6km runs/walks that will take place over a 24 hours period, span multiple continents and raise money and awareness for global water shortages  (6km is the average distance many women and children walk every day to secure water).  The events will take place on Earth Day, April 18, 2010.

Active will provide secure online registration to Live Earth registrants and participants will have access to Active’s popular ActiveTrainer platform which is designed to help individuals create customised training plans to help reach personal fitness goals.  In addition, participants will be using online fundraising tools that will allow individuals to create personalised fundraising pages and send donations directly to charities benefitting water challenges worldwide.

For more information about the Run for Water and how you can register for an event in your area, visit www.liveearth.org.

Simply copy and paste this code into a page on your event website.  The online registration form will frame itself on the page with all of the design and navigation elements that appear across the rest of your site.  This feature is really great because the registrant will fill out the form without ever having to leave your event site!

Automated Bib Number Assignment
Active’s bib number tool reduces the administrative work normally associated with race number allocation and event packet distribution.  This tool allows you to set your number sequences at the event level or down to the registrant type, and then automatically allocates a number to each participant at the moment of registration submission.  Real-time number allocation means that your administrative staff can stuff event packets as you go and not put off the work until batches of data are exported and numbers manually allocated.  Also, with the event registration system doing the work, you are guaranteed that two bib numbers will never be used twice – a common error with spreadsheets of manually allocated numbers.

The bib number tool is located under the Functions tab in the Additional Resources section.

Bib Numbering Tool

Simply set your number sequences and activate the tool to start automatically allocating numbers to your registrants.

Bib number data is available in all standard and custom reporting.  You can also merge the bib number in all confirmation and follow-up emails.

Some Ideas for Planning a Green Event
You’ve probably noticed that “going green” is everywhere these days – and now it can be in your sporting event.

Developing an “environmental impact statement” for your event and branding it as a “Green Event” is not only good for the environment but may prove valuable to your marketing campaign.  It may spark an interest in athletes who are looking for something different and are interested in how they can help the environment in all parts of their lives.

Try some of the ideas below to “Go Green” at your next event:

  1. Ban plastic water bottles.  Instead of selling or giving away bottled water, provide plenty of large water dispensers with biodegradable paper cups.  Or, encourage attendees to bring their own reusable water bottles.

  2. Have on-site recycling bins.

  3. Make green/environmental education a part of your event.  For example, have announcements over the loudspeaker or a booth explaining how athletes can reduce their carbon footprint.

  4. Print event T-shirts on organic cotton.

  5. Use less paper.  Have attendees sign up using event registration software!

  6. If you do need to print materials, use post-consumer recycled paper.

  7. Make it easy to carpool.  Provide an email address, phone number, or web address that athletes can contact to find people with whom they can share a ride.

  8. Use biodegradable banners/signage and serving ware.

  9. Offer a prize to the “greenest” athlete.  The criteria could be someone who took “green” transportation to get to the event, is wearing or using green/sustainable gear, registered online, recycled etc. The prize could be planting a tree in the name of that “green” athlete or purchasing a renewable energy credit from a green energy company.  Be creative!

Even small changes can make a difference and raise awareness in the importance of protecting the environment.  By incorporating a ”green” theme into your next race, match, game, or tournament, you can provide something different to your players while raising awareness in helping the planet.

Active’s Go Green program rewards event organisers for going paperless. As an event organiser, if you commit to registering a target of 95% of your participants online, Active will offer you exclusive benefits.  Click here for more information.

Take Your Marketing Campaign Online
If you haven’t used email or the web to advertise your event yet, now may be the time to give it a try.  Printing posters and flyers works, but there is a whole world of low-cost and creative marketing available to you via the internet.  Here are some ideas as to how you can go online with your marketing campaign.

Email Marketing
A good event management software will allow you to upload and store your entire database of past participant email addresses.  From there you can manage this list, grow it, segment it, and create custom HTML email content.  Sending emails to past attendees, club members, or people you know are interested will give them a visual reminder of your upcoming event and a direct link to your online registration form.  The number one reason why you should switch from a paper marketing campaign to email is that your recipients can forward that email on to their friends who will in turn forward it on to more people – creating that viral effect that every professional marketing company strives to achieve.

Social Media Marketing
You have probably heard of Facebook before and there are many other online networking and social directory websites out there as well.  These social meet-up sites are fantastic for finding people that are interested in participating in events like your own.  It may take some research but you should be able to find a Facebook group or other online network of like-minded individuals that will be interested in what you have to offer.  For example, say you host a marathon.  Search online for forums and message boards about running and training.  Next step is to immerse yourself into that group and become a part of the community.  Don’t force your event advertisement upon them, but rather just interact with them and contribute to their conversations.  Include your event name and logo in your user profile for these forums and watch as people begin to inquire about what you do and what your event is all about.  Conversation spreads fast in these forums and pretty soon everyone will hear about your event!

Cross-Event Reports

If you host a series of events, our event management software has a cross-event reporting feature that makes it easy to track your participants across multiple events.  Just as you have standard and custom report options for each of your events, you can also build reports that will include data collected across all or any number of your online registration forms.  Just select the cross-event feature from the left nav bar and build out a report just as you would for any individual event.  Reports created here will be applied across multiple events.
